Using AT&T Conference Monitor

Using the AT&T Conference Monitor, you can monitor and control your conference call over the Internet.

To login enter the following:

  • Dial-In Number: Enter the Access Phone Number for your conference. Enter only the digits, with no punctuation, spaces, or leading 1.
  • Access Code: The Access Code that has been assigned to your TeleConference.
  • Host Password: The Host Password that has been assigned to your TeleConference.

Supported Browsers

To use the AT&T Conference Monitor, you need a compatible Web browser. Conference Monitor supports Netscape 7, Microsoft Internet Explorer Version 7 or Mozilla 1.4. Javascript must be enabled. Pop-up Blocker must be turned off.



Working with Your Conference

The AT&T Conference Monitor interface offers a visual, point-and-click alternative to using touchtone commands for controlling your conference and changing Host options. The AT&T Conference Monitor interface offers enhanced participant information and control.

Conference Controls section

This section contains 15 buttons that let you control the conference. They are:

  • Start Conf / End Conf: Start a conference or disconnect all participants and end the conference.
  • Lock Conference / Unlock Conference: Locks the conference so that no one else can join (not even an operator). When the conference is locked, this button changes to Unlock Conf.
  • Broadcast Mode: Mutes all conference participants except the Host (and Specialist, if present). Note: Broadcast Mode must be activated before Question and Answer can be activated. Note: Individual participants may unmute their telephone through touchtone commands.
  • Mute All: Mutes all conference participants except the Host (and Specialist, if present). Note: Individual participants may unmute their telephone through touchtone commands.
  • Unmute All: Unmutes all conference participants that were muted.
  • Future Conf. Options: Opens the Conference Options dialog box to set options for all future reservationless conferences. See Changing Future Conf. Options later in this document. Note: For reserved conferences, Future Conf. Options will not available. For reservationless conferences, these options affect future reservationless conferences only.
  • Current Conf. Options: Opens the Conference Options dialog box, which allows you to change Entry / Exit options. Enables host to select Name Announce, Entry/Exit codes or silent participant entry for the current conference.
  • Conf. Continuation: Selecting enables the current conference to continue after the Host hangs up. The conference does not end until the last participant disconnects. Available only if the account’s Conference Continuation feature is turned on.
  • Roll Call: Play the names of participants as recorded upon entry into the conference and will also play the participant count. For names to be played Name Record must be enabled and Entry Announcement must be set to Name.
  • Dial Out: Dial out to add a participant to the call.
  • Start/Stop Recording: Turn the Conference Record function on and off.
  • Active Talker: When activated, will display a microphone icon  next to the number in the Line column of the participant or participants speaking and change the color of the Line number from black to red. Note: ACM refreshes screen every few seconds. Speaker reflected on the screen may not be always aligned with actual speaker.
  • Specialist: This button will request help from a Specialist. (To request private Specialist assistance, select your entry in the participant list and click the Specialist check box.)
  • Help: Opens this online help page in a separate window.
  • Logout: Logs you out and closes the AT&T Conference Monitor. You can exit at any time without affecting a conference in progress. CAUTION: Do not use the browser button () instead of the Logout button. You must select the Logout button to exit properly from the AT&T Conference Monitor.


Current Conference Call Status Screen

Active Participants: Number of participants including Host on the call.

 

Entry/Exit Options: Indicates OFF if silent entry, TONES or NAMES.

 

Conf. Continuation: Indicates ACTIVE or INACTIVE.

 

Specialist: Indicates if Special Request is ON or OFF.

 

Conference Lock: Indicates if conference is locked or unlocked.

 

Recording: Indicates if Conference Record is ON or OFF.

 

Conference Mode: Indicates BROADCAST if Broadcast is active. Indicates MUTE ALL if Mute All is active. Indicates TALK if Broadcast and Mute All are inactive.

 

Active Talker: Indicates if Active Talker is ON or OFF.

 

Q&A Mode: Indicates if Question and Answer mode is ACTIVE or INACTIVE.

 

Q&A Queue: Indicates the number of Question and Answer participants are in queue.

 

 

 

Changing Future Conference Options

 When you click Future Conf. Options on the AT&T Conference Monitor page, the Future Conference Options dialog box appears. Here, you can change certain options affecting the Host account. These changes will be in effect for future reservationless conference calls.

 The configurable options may include:

  • Name Record: The participants are prompted to record their names when they call to join a conference.
  • Play Tones on Entry and Exit: Entry and exit tones are played when a participant enters and leaves the conference.
  • Announce Name on Entry and Exit: Each participant’s name is played when he or she enters the conference, and the participant count will also be played. Available only if you turn on Name Record.
  • Silent Entry and Exit: Silent Entry/Exit, no message or tone is played when participants enter and leave the conference.
  • Conference Continuation without the Host: Turns Conference Continuation on by default for all future conferences. With Conference Continuation on, the conference does not end when the Host disconnects, but continues until the last participant disconnects.
  • Conference Start without the Host: Conference Call can begin prior to Host joining the call for all future conferences.

      Note: Only features/capabilities enabled for your account selection will be available.



Changing Current Conference Options

 When you click Current Conf. Opts on the AT&T Conference Monitor page, the Current Conference Options dialog box appears. Any change you make here affects only the current conference and is not saved for future conferences. Once the current conference ends, this setting automatically reverts to the Entry/Exit Options setting in the Future Conference Options dialog box.

 Here, you can change how the entry and exit of participants is announced for the conference currently under way:

  • Name Record: The participants are prompted to record their names when they call to join a conference.
  • Play Tones on Entry and Exit: Entry and exit tones are played when a participant enters and leaves the conference.
  • Announce Name on Entry and Exit: Each participant’s name is played when he or she enters the conference, and the participant count will also be played. Available only if you turn on Name Record.
  • Silent Entry and Exit: when participants enter and exit the conference no announced name or tone will be played.


Working with Participants

 The AT&T Conference Monitor offers far more capabilities for working with participants than is possible with the touchtone interface. The additional capabilities derive mostly from the Participant Information area.

 Using Participant Information

 The figure below shows the Participant Information section of the AT&T Conference Monitor. Here, you can view and manage the participants in the conference. The Participant List and Action Buttons areas are described in this section.

 Participant List Tab:

  • Line: Indicates the order in which the participants entered the conference call. A microphone icon  next to the Line number and a change of color from black to red indicates that this participant is speaking when Active Talker is activated.
  • First Name, Last Name: The participant’s name. For participants you dial out to or who dial into the conference, you can assign a name to each participant by selecting each entry and clicking on the pencil symbol  under the Actions and typing the name into it.
  • Phone: The participant’s telephone number. If the participant dialed into the conference, and if the telephone network provided the information, this is the number from which the participant called.
  • Role: This field displays the role of each leg on a conference. The role can be a Host, an Audio Controller, a Participant or a Feature.
    • Host: This will be displayed when the Host of the call is dialed-out by a TeleConference Specialist or has dialed into the conference using the Host Code.
    • Controller: This will be displayed when dialed into the conference using the Host Code.
    • Participant: This text will be displayed for all lines on the call that are not the Host/Controller.
    • Feature: This will be displayed when a feature such as conference record is on the conference.
    • Specialist: This will be displayed when a Specialist joins the conference.
  • Mode: Indicates whether the participant is in Talk or Listen only mode.
  • Status: The participant’s status: The status of a line may change depending on conference events. Valid values are shown below:
    • OnConf: The participant is currently on the conference.
    • Rsrvd: Displayed if the line has been added to dial out to a participant.
    • Calling: When dialing to add a participant, the status for the host and reserved line displays Calling.
    • Dropped: Indicates that the line (participant) was dropped from the call.
    • OnHold: Participant is waiting to join the conference.
    • Privacy: The host is in private conference with the specialist.
    • Busy: Displayed during call setup during dial out.
    • InMenu: Participant is interacting with the call flow or on hold, waiting to join the conference.
  • Q: This field displays the status of a line in regard to a Question & Answer session. Valid values are shown below:
    • F - The line is the Q&A Facilitator.
    • Q - The line is in queue to ask a question.
    • A - The line is currently asking a question.

  - these are buttons that you click on to select the following:

 Talk/Listen Mode.
 Join the line to the call.
 Drop Participant Line.
 Edit User, Enter/Edit participant name.
 Hear name of participant on line.
 Adjust Volume on Line.
 Remove line from list.

Volume Control

  • The Volume Control screen enables you to increase or decrease the decibel levels of each participant's sound volume. To increase the sound volume of a participant, click on the scale's moveable box and drag it to the right to the desired level. To decrease the volume of the participant, click on the scale's moveable box and drag it to the left to the desired level. The box to the left of the scale will display the volume setting.


Conference Details Tab

  • Host Name: Name of the Host of the conference.
  • Conf. Type: Dial-In: A reservationless or reserved (when available) conference where the Host or Arranger has dialed into the call. All participants join the teleconference by dialing in directly to a bridge number and entering access information.
  • Toll-Free Number: Telephone number called to join the Conference Call. Toll-Free provides no cost to the participants, the Host is responsible for all conference charge.
  • Dial-In Number: Telephone number called to join the Conference Call. Participants use a long distance number to dial into the call and pay associated long distance charges. The Host is responsible for only the charges associated with use of the bridge.
  • Start Date: The date the conference call started.
  • End Date: Reservationless: Date defaults to date of call. Reserved (when available): Length of time specified at time of registration.
  • Start Time: The time the conference call started.
  • Duration: Reservationless: Amount of time elapsed since the audio portion of the conference call began. Reserved (when available): Length of time specified at time of registration.
  • Elapsed Time: Indicates the amount of time that has elapsed since the audio portion of the call began.
  • Conference ID: An Identification number associated with the conference call.
  • Ports Requested: The amount of lines requested for a reserved conference or a default amount for a reservationless meeting.
  • Ports in Use: The number of connections that are active on the call.
  • Conf. Status: Indicates if conference call has started.
  • Active Participants: Number of participants on the call including the host.
  • Conf. Lock: Indicates if conference call is locked or unlocked.
  • Recording: Indicates if Conference Record is On or Off.
  • Start without the Host: Indicates On or Off. If on, call can begin without host.
  • Entry/Exit Options: Indicates participant entry selected - off (silent entry), tones, or name.
  • Conf. Continuation: Indicates On or Off. If on, call will continue after host hangs up.
  • Active Talker: Indicates On or Off. If on, all currently speaking participants will be shown.


Question & Answer Tab

 The Question and Answer screen enables you to monitor your Question and Answer Session during your meeting and the order in which you summon questions. It is important to note that the Question and Answer (Q&A) option can only be activated after you have placed the call in a Broadcast mode. Once Broadcast has been activated, the Q&A Screen will display an option to activate the Q&A mode.

 Activate Question and Answer Mode: When selected, initiates the Q&A session.

 Once you have activated the Q&A session, the host and participants are given audio instruction. Click on the question mark Action Button next to the participant to request their question. (Note: You may access the next questioner using the telephone touch-tone command of “10.”)

 After Q&A has been activated, questioners will be added to the list at their request (the participant’s telephone touch-tone command to ask a question is “10”).

  • Current Questioner: Indicates the name of a participant (if previously entered by the Host/Controller) who has been summoned to ask a question.
  • Phone Number: Indicates the telephone number of a participant (if previously entered by the Host/Controller) who has been summoned to ask a question.
  • Take Next Question Queued: When selected, advances the next questioner in the Q&A queue to the active questioner. Note: The next questioner is moved from the queue in the order it was received onto the Q&A queue and not necessarily the order displayed visually in the table.
  • Deactivate Question and Answer Mode: When selected, deactivates the Q&A session.
  • Line: Shows each participant who has queued up to ask a question.
  • First NameLast Name, and Phone: If previously populated by either a Specialist or the Host/Controller, each will be displayed in these fields.
  • Actions: Displays a question mark Button that will allow you to select the participant waiting to ask a question and a striked-out question mark Button that will allow you to remove a questioner from the queue. Clicking on the question mark Button will move the participant into the Current Questioner fields. Note: if no information has been populated in the Name fields, the questioner will be moved to the Current Questioner field and the field will remain blank) You may select participants in the queue in any order you choose via the Conference Monitor. Note: If the host summons the question via touch tone command, the questions are answered in the order they were received. Clicking on the striked-out question mark Button will remove the questioner from the Q&A queue. Note: There will be no audible announcement on the conference to either the host or the questioner that they have been removed from the Q&A queue.


Dialing Out from AT&T Conference Monitor

 Dial Out Participant:
 To add a participant to a conference that is under way and to which the Host is connected:

 Step 1: Click DIAL OUT on the Controls Menu of the Participant Screen. A Dial Out Participant dialog box will appear.

 Step 2: Enter the first name, last name and phone number and click on DIAL PARTICIPANT.

 Step 3: A new line will appear in the participant list.

 Step 4: Once connected, click on the up-arrow Action Button () to join the participant to the call or click Down Arrow Action BUTTONS () to drop the participant. (Why drop after dialing out? The Participant may not be available to join the conference or you may have a question for the participant but do not wish to join them to the call.)

 Note: The host can connect or disconnect the line using touchtone commands. In this case, the host talks directly to the participant prior to rejoining the conference. See the Touchtone Commands section.

Resolving AT&T Conference Monitor Problems

 If you have trouble logging into the Conference Monitor, verify that:

  1. Your computer has access to the Internet.
  2. You are using the correct Web address
    (https://www.teleconference.att.com/cm/cmlogin.html)
  3. You are using a supported Web browser as specified in “Supported Browser”.
  4. You entered the correct Dial-In Phone Number, Access Code and Host Password in the login dialog box.
    If this fails, contact Customer Care at 800-586-1749 or 205-206-2114.


Touchtone Commands

 Hosts can interact with the service using either the Web-based AT&T Conference Monitor interface or their touchtone telephone keypads.
Participants can use a more limited set of touchtone commands.

 The touchtone commands described below are:

Conference Commands

 While in conference, participants can use touchtone commands to control their participation and, in the case of the Host, conference operation.
The Host’s account options and feature settings determine which commands are available and to whom.
The table below describes the commands that may be available in conference to the host and the participants.

Voting and Polling

 Overview of Voting and Polling - The Host can elect to enter a Voting and Polling session.
Voting & Polling is a menu driven feature that allows the host/controller of a conference to ask questions of their participants and allows the participants to respond to the questions using touch tones.
If multiple people join the conference using the host code, the first person that joined using the host code will be the controller of the conference.
Only that person will have access to the host menu prompts.  The system then provides a tally of the votes to the host/controller.

  1. The host should advise their participants that they will be conducting a Voting and Polling session.
    The host begins the Voting & Polling session by pressing * 73.
    The menu plays: "Your conference is now in Voting & Polling mode. After asking your question, press 1 and 0 to hear the voting results."
    The host then rejoins the conference.(Note: No system announcement is made to the participants.)
    After each question, the host should ask the participants to press the number on their phone that corresponds to their "vote".
  2. The system can tally responses using 0 - 9.) The host may ask for Yes/No responses, may offer multiple choices or ask for participants to rate their response on a scale (e.g. 1-5).
    The system will tally all votes by the number pressed by each participant.
    For example, after the question, the host could say: "Press 1 for yes, press 2 for no, press 3 to abstain from the vote."
    Each participant enters their "vote" by pressing the corresponding number on their phone.
  3. The host presses 1 0 to hear the tally of the votes. (Note: Only the host hears the vote tally.)
    For example: "# of participants voted 1, # of participants voted 2, # of participants voted 3." (If applicable: "# participants did not vote".) "To hear these results again, press 1 and 0. To reset the vote count to zero, press 2 and 0."
    If the host wants to ask additional questions, they press 2 0. (This resets the vote count.)  "You may now ask your next question."Repeat Steps 2 & 3.
  4. The host ends the Voting & Polling session by pressing * 73. "This Voting & Polling session is now ended.To begin another Voting & Polling session, press * 73." The host then rejoins the conference.
